Create and schedule a work order

Turn a job into a scheduled, assignable work order.

Before you start

  • You've added the customer.

A work order is the job itself — what needs doing, when, and who's doing it. Create one directly, or convert an accepted quote into one.

Create the work order

Like quotes, a work order is created in two steps: enter the details (and optionally schedule it), then add line items on the next screen.

  1. 1
In the left menu, click Work Orders, then New work order.
  2. 2
Title (required)A short description of the job.
  3. 3
Customer (required)Choose the customer, and a service location if they have one.
  4. 4
Schedule and assign (optional)Set a Date & time and Duration, and tick technicians to assign. You can also do this later from the work order or the calendar.
  5. 5
Click Create work order. It opens on its own page.

Or, from an accepted quote, click Convert to Work Order — the line items are copied across so you don't re-enter them.

Add line items

  1. 1
On the work order page, click + Add line item for each labour line and material, with quantity and price.

Setting a scheduled date moves the job from Open to Scheduled automatically. Assigned technicians can see the job is theirs.

Tip · On the Pro plan, the Calendar lets you drag jobs onto a week, day, or per-technician dispatch board, and see everyone's availability at a glance.

Complete the job

When the work is done, open the work order and click Mark Complete, or capture the customer's signature on site. A completed work order is ready to invoice.
