Create and send a quote

Build a professional quote and email it for online approval.

Before you start

  • You've added the customer (see Add, edit, or archive a customer).
  • For accurate totals, set up your taxes first.

A quote tells your customer what the job will cost. Send it from Crewato and they can approve it online with a click — no back-and-forth.

Create the quote

A quote is created in two steps: enter the details, then add your line items on the next screen.

    In the left menu, click Quotes, then New quote.

    Title (required)A short name for the job, e.g. "Replace kitchen faucet".

    Customer (required)Choose the customer. Pick a service location too if they have one — otherwise their billing address is used.

    Valid until (required)The date the quote expires. Defaults to 30 days out.

    Optionally add a customer-facing Description, internal Notes, and — on the Pro plan — a Deposit request (a percentage or fixed amount the customer pays when they accept).

    Click Create quote. It gets a number like Q-0001 and opens on its own page.

Add line items

    Add each lineOn the quote page, click + Add line item and enter a description, quantity, and price. Repeat for every product or service.

    TaxesTaxable lines use your default tax group automatically. Change the group on a line if it's taxed differently, or mark it non-taxable.

Send it to the customer

    On the quote, click Send to Customer.
  2. 2
    Review the email and recipient, then send. The customer gets the quote as a PDF plus a link to view and approve it online.

When the customer opens the link they can Accept (with a typed signature) or Decline. You're notified either way, and an accepted quote is ready to turn into a work order.

Tip · Accepted a quote over the phone? You can convert it to a work order yourself — open the quote and choose Convert to Work Order.
